Edamame release - GreenCommerce

The third quarter of 2024 kicks off with the Edamame release. This release is not mandatory. It includes new developments related to accounts receivable management. Additionally, a feature has been added to allow editing multiple purchase invoice lines simultaneously. Furthermore, functionality has been introduced to define a surcharge percentage within a transportation bracket. Read all release notes below:

Filter

Users of GreenCommerce no longer use the seed and cuttings module. Therefore, it has been decided to close this module. The associated parameters have been disabled.

**Accounts Receivable Management**

For managing risk profiles, new screens have been added to the master data. Here, risk profiles can be added, edited, and deleted. Each risk profile can have a code, name, color, and a note. A risk profile can be linked to a debtor on the debtor card. In the accounts receivable overview, properties of the risk profile can be added as columns. The first column that shows a property of the risk profile will display a dot in the color of the risk profile.

Once a purchase or sales order is finalized, the reference field of the order is disabled, and a button appears to change the reference. A pop-up window will then open, allowing the new reference to be entered. Once the order is fully processed, the reference can no longer be changed.

**Accounts Receivable Management**

The following columns can be added to the open items screens (per debtor & per invoice relationship):

- NumberInvoicesOverdue: Total number of invoices overdue
- TotalAmountOverdueInvoices: Total amount of overdue invoices
- TotalInsuredAmount: The amount for which the relationship is insured
- ExposureAmount: TotalOutstandingAmount - TotalInsuredAmount

Additionally, the filter in both screens has been expanded with the 'With exposure' checkbox. When this option is checked, only relationships with an ExposureAmount greater than 0 will be displayed.

In the dropdown menu 'Send Accounts Receivable Overview', two options have been added: 'Example account manager' and 'Example sales person'. In the pop-up for sending open items, it is now possible to preview an invoice relationship. First, select an invoice relationship from the list, then click on "Preview" to view it. This functionality is available wherever open items can be sent.

In the debtor dashboard, all amounts in the header are displayed without decimals. Additionally, the percentages in the "Payment Term Outstanding Invoices" box are rounded. All highlighted fields in the screenshot are now shown without decimals.

It is now possible to add the "DebtorCodeAsText" as a column for a relationship. Similar to the "DebtorAsText" column, the same debtor is displayed for all relationships within the hierarchy.

In the debtor dashboard, debtors and invoice relationships are now displayed with their respective codes as prefixes. The invoice relationships are sorted by code. Additionally, the fields in the header have been arranged more compactly to ensure that all information is visible without scrolling on smaller screens.

In the credit meter located within a sales order, the credit responsible person will now be displayed if applicable. The credit responsible person is applicable if the customer has a debtor and if a credit responsible person is set up for that debtor. If accounts receivable management is not used, the line with the credit responsible person will not be displayed.

 

It has been made possible to split purchase order lines, similar to sales order lines. Conditions for splitting include: the purchase order line must not have multiple parties, must not be blocked for processing, and you must be the owner of the purchase order line. If these conditions are met, splitting can occur, but the split quantity cannot exceed the quantity already received. If the purchase order line has been scheduled for transport, there is an option to retain the transport order for the new line. User preferences for this choice can be remembered.

With this development, it has been made possible to add elements to purchase and sales orders of the 'Credit' type. Users can select elements only from those with the process filter 'Costs and discounts'. This is coming from the Elements inventory.

It is now possible to edit multiple purchase invoice lines simultaneously. A form is displayed where the following fields can be edited:
- Date
- General ledger
- VAT group

The input fields are initially empty, and only filled input fields will be saved. VAT lines cannot be edited.

Similar to how it's already possible with purchase and sales order lines, it's now also possible to record the 'OrderLineStatus' for program lines. Users who already have the 'Assign Order Line Status' task from purchase and sales can directly utilize this feature. The advantage of recording the status at this earlier stage is that it will be carried over when creating order lines based on program rules.

It is now possible to set at the company level whether the purchase price should be reset if no price suggestion is found after modifying the item. This is configurable through a parameter.

In the inventory screen's batches tab, it is now possible to directly navigate to the purchase order or assignment of the batch. This can be done by right-clicking on the batch and selecting 'Go to Purchase Order' or 'Go to Assignment', depending on how the batch was created.

A functionality has been added to allow for setting a surcharge percentage within a transportation bracket. This percentage serves as a control mechanism to influence price calculations towards customers relative to the expected costs from carriers. When calculating the transportation reservation per pallet position, an additional charge is applied over the base rate (bracket rate). This is separate from any active diesel surcharge, which is calculated on the same base rate.

Through a new system parameter, it can be configured that realized results/margins on the sales side are not included in the recommended feedback prices. This means that the achieved margins remain reflected in the batch and sales results.

When selling from inventory, it is now possible to specify the pallet factor. Similar to selecting pallet packaging options, you can choose to inherit data from customer/item preferences, job/purchase order line, item pallet factor, or manually enter it. The customer preference option is not available because pallet factor is not defined at the customer level (only pallet packaging is).

Additionally, you can now set a default selection for this option via user-specific parameters.

The form for splitting order lines in [Transport Planning] has been updated to match the same variant available for splitting from [Sales Order] or [Inventory Planning]. The new options include:

- Adjusting pallet factor, pallet positions, and number of pallets
- Modifying pallet packaging

It is now possible to make a template or program relationship-specific directly from its associated details screen. The 'Relationship specific' checkbox must be ticked, and a relationship must be selected. For existing templates/programs, this option is only available if no more than one relationship is linked. Otherwise, it defaults to the relationship field.

For relationship-specific templates and programs of the purchase type, it is now possible to link a crop to a template/program line. The crops available for template lines are filtered by default to active crops. For program lines, crops are filtered by whether they are active during the program period. When creating purchase order lines based on templates and programs, the crop is inherited if specified in the template/program line.

**This release note is specifically for Fris users**

Consumer item management is now available in Fris GreenCommerce. The screens can be found under [Master Data] -> [Article Master] -> [Consumer Items].

This can be added as a separate menu item to a role.

In the Invoicing Module, a modification has been implemented to prevent the registration of payments amounting to 0. Additionally, micro payments smaller than 0.01 cent and/or -0.01 cent will no longer be registered. A filter has been added to the screen where these registrations are displayed, allowing users to filter out current 0 and micro payments. This filter is initially set to off.

Due to non-utilization of the functionalities provided by the Forecasting module, it has been decided to phase it out. The following components will be discontinued:

- Purchasing → Purchase Contracts
- Inventory Management → Trade Forecast
- Reports → Contract Digger
- Sales → Sales Contracts & Sales Contract Organization

Due to non-utilization of the functionalities provided by the Payout module, it has been decided to phase it out. The following components will be discontinued:

- Administration → Payouts & Payout Period
- Master Data → Administration → Grower Deductions

Additionally, certain parameters have been deprecated.

The 'Quotations' section under 'sales' has been phased out as it was no longer being used in the application.

The current (unused) variant has been phased out to make room for potential future developments in batch daily pricing.

The inbox has been expanded to include a new message type that can be processed: 302 Invoice Payment. Invoice payments can apply to both purchase and sales invoices, depending on the content of the message.

The body of an email template now supports conditional text, meaning that specific (dynamic) text will only be included in the email if the condition is true. Data fields from the linked object can also be used in this context. Use the following notation:

<@ if [condition] @>[text]<@ endif @>

If the condition is true, the text between the `<@ if ... @>` and `<@ endif @>` elements will be included in the email. If the condition is false, the text between these elements will not be included.

There are some limitations to using conditional text:
- Only one condition can be placed within the `<@ if ... @>` element.
- The `<@ if ... @>` element does not support an `<@ else @>` element.
- Nested `<@ if ... @>` elements are not supported.

This allows for more dynamic and personalized email templates based on specific conditions related to the data fields of the linked object.

An enhancement has been made to the [Send Invoices (Digital)] screen where invoices for relationships configured with outbox settings are now displayed. This eliminates the need to enable the "Works with FreshBabel" checkbox in the relationship master data.

To differentiate invoices sent via the outbox, the 'Communication method' column has been expanded with a new value:

In the order definition, an additional field has been included to incorporate a kilo/unit price: "PricePerContent". This allows both kilo prices and unit prices to be used. Once a PricePerContent is filled in, it is stored at the order line level and subsequently transferred to the generated sales order line as the 'filled-in price'. Underlying, the unit price is still calculated and stored.

In the purchase orders screen, a pie chart icon has been added to the column displaying the received (reported) percentage.

The Excel import module has been adjusted to now include crop data for item and element lines.

An extension has been made to the GreenCommerce Tasks API to capture the event of completing a shipment. Based on this, the shipment confirmation is automatically sent to the recipient, provided it has not already been sent automatically. When a shipment is completed again, the functionality is re-triggered, and the confirmation is sent again. To activate this functionality, the following event must be enabled in the Tasks API: shipment.finished.

The viewing of an inbox message has been updated so that when viewed, the JSON content is now displayed in a dialog in Microsoft Edge. Since this is a much more modern browser, the JSON is neatly formatted and displayed.

An enhancement has been made in GreenCommerce to allow the end customer reference to be recorded. This can be managed in the same way as the customer reference (even if the sales order is already finalized).

For the processing of EDI flows, the end customer reference can be imported into the sales order via the inbox → orders.

Since the functionalities for external invoicing are no longer being used, it has been decided to phase this out. Consequently, the associated system parameter has been removed.

Since the desktop graphs were not being used, they have been phased out. The associated system parameter has been removed.
