Import multiple articles at once with the new import/export function
Since the Ximenia release, the process of entering items in GreenCommerce has been set up more efficiently. Where previously this could take a lot of time because it had to be entered manually, this can now be done in one go through an import/export function. New developments make it not only easier but also faster to enter multiple items at once.
Entering new items as a result of e.g. a new GreenCommerce installation was always a time consuming process. Because as a company you quickly need a large number of items, sometimes more than 1000 articles are entered at once. However, there are also companies that have to re-enter the item masterdata every year in connection with regulations. To support these companies, an Excel import has been developed to quickly create multiple items at the same time.
The data of the items is read and validated on the basis of column names. For example, it is possible to read basic data of items and the associated item elements and item product compositions. It has also been made possible to export existing items based on an export template as an Excel file. This file can then be modified as desired and used as an import file to create the new items.
The items are exported to an Excel file with 3 tabs: “Items”, “Elements” and “Products”. Items can be compiled in the items tab. The “ItemLineType” column indicates what type of line it is and determines which data is read at the time of import.
The elements tab contains all existing elements with the associated element prices and can be used as a reference to compose the items. The products tab contains all existing products and, like the elements, can be used as a reference to compose the items.
Set Template
It is possible to set up your own export template. Here you can indicate which columns should be exported and in which order the columns are placed.
Do you want to read an import file? Via “Import” you get the option to indicate an import attribute. This attribute is then set for each item code during import. This is an advantage especially for items with existing item codes. After importing, the attribute can also be removed from the item code.
After all information has been validated, a new screen will open. At the top you can see all imported item compositions and at the bottom any error messages that were found during the reading/validation of the import file. If no errors are found, the items can be imported.
